Documents
Here you'll learn how to find the team's important files (rules, permits, maps) and how to upload new documents if you're an administrator.
What is document management?
Everyone in the team can read the documents administrators have uploaded. Documents live in one shared place so no one has to dig through email or paper piles.
Each document shows its file name, size, and a type badge that tells you what kind of document it is.
Document types
- Code of conduct
- Team rules
- Permit
- Official document
- Other
Open a document
- Tap Documents on the home screen
- Tap the document you want to read
PDFs and images open directly in the app. If the app can't show the file directly it offers to open it in your browser instead.
TIP
The PDF viewer supports pinch zoom and swiping between pages. Useful for reading team rules on your phone without downloading the file.
Upload documents
Requires administrator role
Only secretaries and team leads can upload and delete documents.
- Tap Upload at the top of the page
- Enter title, choose document type, and add an optional short description
- Tap Choose file and pick the file from your phone
- Tap Upload
Size limit
The file can be at most 20 MB. PDF, common image formats (JPEG, PNG) and plain text work best.
Folders
Documents can be organised into folders, for example one folder for meeting notes and one for contracts. Folders can also sit inside other folders.
Tap a folder to open it. At the top you can see where you are, and you can always go back to All documents.
Create and manage folders
Requires administrator role
Only secretaries and team leads can create, rename, move, and delete folders.
- Tap New folder
- Enter a name and save
The folder is created inside the folder you are currently in. You can also rename a folder, move it into another folder, or delete it.
When you upload a document you can choose which folder it goes into. You can also move a document to another folder by editing it.
Move several documents at once
As an administrator you can select several documents and move them to a folder in one go. On the web, tap Select and tick the documents. On your phone, press and hold a document until it is selected, then tick more. Then tap Move to folder and choose the folder.
Deleting a folder
If you delete a folder, all folders and documents inside it are removed too. The app shows how many documents are affected before you confirm. Deletion can't be undone.
Edit a document
Requires administrator role
Only secretaries and team leads can edit documents.
Open the document and tap Edit at the top. You can change the title, type, and description. The file itself can't be replaced; upload a new document and remove the old one if you need to swap the contents.
Delete a document
Open the document and tap the trash icon.
Deletion can't be undone
The document is permanently removed. Download the file first if you want to keep a copy.
