Calendar

Here you'll learn how to see upcoming hunts, sign up for a hunt, create a new event, and subscribe to the team calendar in your own phone calendar.

What is the calendar?

The calendar is the team's shared planning. You see all group hunts, individual hunts, work days, and other events the team has scheduled. If the team has opened stands, towers or areas for booking, those bookings show here too, see Bookings.

You can switch between Month (one whole month at a time) and Week (seven days in columns with time slots) via the icons in the top right. Both views show a Jump to today button at the top if you've scrolled far away.

What the colours mean

Each event has a colour so you instantly see what kind of day it is:

  • Gold = Group hunt
  • Green = Individual hunt
  • Gray = Work day
  • Red = Protective hunting
  • Brown = Other

Each day also shows a small weather icon for about the next ten days.

See an event

  1. Tap a day in the calendar
  2. A list of that day's events appears below the calendar
  3. Tap an event to open the detail page

On the detail page you'll see:

  • Title, type, date, and description
  • The hunt leader (for hunt events)
  • All participants with profile pictures and status (accepted, invited, or declined)
  • Any tasks linked to the event
  • Any photos from the event in the gallery
  • For hunt events: the chosen tracking handler (eftersöksjägare) if the team has assigned one for the day (picked from members with the eftersok_provider role)
  • For hunt events: the linked sub-area on the map, if the hunt leader has attached one. When the live hunt starts, that sub-area is what every participant sees.

On mobile you open a participant's profile page by tapping them in the participant list.

Who is coming and who has not answered

Three numbers sit at the top of the participant list: how many are attending, how many are not attending, and how many have given no answer. Everyone on the team sees them, not just secretaries and hunt leaders.

Below the numbers the participants are split into three groups with the same names. On a group hunt or a work day, the Has not answered group lists every hunter on the team who has neither accepted nor declined. On an individual hunt, a protective hunt and other events, only people who joined or were invited are listed, since the whole team is not expected to come. If someone was sent an invitation but has not replied, Invite sent appears under their name. If nothing appears there, they have not been asked yet. If someone wrote a message when they answered, it is shown under their name.

Members who do not hunt, such as landowners, farmers, tracking handlers and non-hunting guests, are not counted as unanswered. They only appear in the list once they sign up themselves or are invited.

On a large team the first eight unanswered people are shown. Tap Show all to see the rest.

Example

The team has twelve hunters. Seven have accepted, two have declined and three have not answered. The hunt leader can see straight away which three need a reminder.

Sign up for a hunt

You can accept or decline any event in the calendar, even without an invitation:

  1. Open the event
  2. Tap Join to accept, or Decline to say no
  3. For multi-day events, choose whether to attend all days or only some. Tapping Decline says no to every remaining day.

If you have received an invitation, you answer with Accept or Decline in the box at the top of the page instead.

Before you answer you can write a short message in the Message field, for example "arriving after lunch" or "bringing the dog". The message is optional and appears next to your name in the participant list. You can also write a reason when you decline. If you answer again with a new message, your latest message is the one shown.

You can change your mind any time. If you accepted but can no longer come, tap Can't attend and you move to the Not coming group. If you declined, tap Join again. On a multi-day hunt you can also say no to a single day with the cross next to that day in the participant list.

Requires administrator role

Secretaries and team leads can also remove a participant directly from the participant list (e.g. if someone forgot to cancel). Removal sends a notification to the member.

Example

A moose hunt runs over four days. You can accept Saturday and Sunday but skip Monday and Tuesday.

Invite a guest hunter

On a hunt event (group hunt, individual hunt, or protective hunt) there is a Guest code row under Participants. With the code, a hunter who is not a member of the team can join that single hunt without a paid seat of their own.

  • With no code it says No guest code yet. Administrators, the person who created the event, and the hunt leader tap Create.
  • When there is a code it shows on the row. Tap Show for the QR code, Copy and Share. Organisers can also send an invite by email (Invite by email, then Send invite), change the code or revoke it there.

Read more about what guests see and can do under Guest hunts.

Create an event

Every member except read-only members can create individual hunts, protective hunts, and other events. Creating an individual hunt does not notify the whole team; invite the people you want along instead.

Read-only member

Read-only members can see this but not change it. See Members.

  1. Tap a day in the calendar to select it
  2. Tap the Create event button below the calendar
  3. Choose the event type
  4. Set the date and optional time (or pick all-day)
  5. Add a description and save

Saving opens the event straight away. For a hunt, you become the hunt leader. From there you can invite more people and tap Plan hunt details to choose the hunt leader, tracking handler and area. The area is the starting point when someone launches the live hunt from this event. See Stand allocation.

Edit an event

Open the event. Tap Edit name, type and time to change just those. Change the description with the pencil next to it. Hunt leader, tracking handler and area are changed under Plan hunt details.

A group hunt that already has drives, stands or roles cannot change type. Remove the plan first. Nor can you shorten a hunt so that a drive falls outside its days. Move or delete the drive first.

Requires administrator role

Only administrators (secretary and team lead) can create group hunts and work days, invite participants, and edit or delete events.

Subscribe in your own calendar

You can view the team calendar directly in Apple Calendar, Google Calendar, or Outlook without opening Jaktli.

  1. Open the calendar and tap the subscription icon in the header
  2. Tap Generate subscription links
  3. Choose which calendar you want:
    • All team events (everything in the calendar)
    • My events only (only events you're attending)
  4. Tap Add on this device to open your phone's calendar app, or Copy link to paste the URL manually

The calendar is read-only. Changes are always made in Jaktli and then appear in your regular calendar.

For hunts, the hunt PM comes along. The meeting place becomes the event's location, so your calendar can show the way there. The description holds a link to the hunt PM, the hunt leader, the radio, the allowed game and the drives with your stand. Phone numbers are left out; they are in the hunt PM.

TIP

Phone calendars fetch updates a few times a day. It's normal for a new event to show up only the next morning.

  • Generate new links: makes the old links invalid. Use if you've shared a link with the wrong person by mistake.
  • Disable subscription: everyone subscribed stops getting updates. You can turn it on again later.

Blocked periods

Some dates may be blocked so you can't book events of a certain type. See Blocked Periods for more.
