Bookings
Here you'll learn how to book a stand, a tower or an area for a set time, see the team's bookings, and change or cancel a booking.
What is a booking?
Many teams have places only one person can use at a time: a tower, a cabin, a feeding place or a whole section of ground. A booking tells the team that the place is yours for a set time. Everyone sees it in the Bookings list and in the calendar, so nobody has to ring around to ask whether the tower is free on Saturday.
You can book:
- Stands and towers, including hunting towers, ground blinds and shooting lanes
- Feeding places, for example salt licks, feeding stations and game crops
- Accommodation, meaning a cabin or hunting lodge
- The butchery
- Areas, for example a section of ground or a drive
A place first has to be opened for booking by an administrator. See Open a place for booking below.
Available in the app and on the web
In the app, the Bookings tile is on the home screen. On the web you find Bookings in the menu on the left.
See the team's bookings
Open Bookings. The list shows upcoming bookings day by day, with the place, the time and who booked it. Bookings running right now are marked Ongoing.
- Tap Mine to see only your own bookings
- Tap a type, for example Passes and towers or Areas, to see only that kind of place
- Search for a place or a person in the search box
- Tap Show past to also see bookings that have already passed
The list also shows hunts from the calendar that apply to a particular area. They are marked Calendar activity. Tap one of those rows to open the activity.
Book a place
Any member can book. Here is how:
- Open Bookings and tap Book
- Under What do you want to book?, choose the place. The list only shows places that are open for booking
- Pick the dates under From and To
- Want to book set times instead of whole days? Turn off Whole days and fill in Start time and End time
- Add a note if you like, for example that you are bringing a dog
- Tap Book
As you fill in the form, the app checks whether the time is free. When it says The time is free, you are all set.
You can also book straight from the map. Tap a stand or an area that is open for booking. The panel says Can be booked, whether the place is Free or Booked now, and when the next booking is. Tap Book and the booking form opens with the place already chosen.
Good to know
- A booking can run at most 60 days
- You cannot book a time that has already passed
- An administrator may have limited how far ahead a place can be booked. If so, the form says so, for example "This place can be booked at most 14 days ahead"
- Secretaries and team leads can book for another member. Pick the person under Booked for
When times clash
The app compares your booking with the team's other bookings and with activities in the calendar. Two things can happen.
The time is taken. Someone else has already booked the same place for the same time. Then the booking cannot be made. Tap Pick another time and try a different time or a different place.
Read this first. The booking clashes with something nearby, but not the exact same place. The app shows what it is. You can then choose Book anyway if the team agrees, or Pick another time. This happens for example when:
- you book a tower that lies inside an area someone else has booked
- you book an area where someone has already booked a tower
- you book a stand in a drive where someone else has already booked another stand
- your booking overlaps a hunt or another activity in the calendar
A hunt in the calendar never stops a booking. If you book a stand on a day the team has a group hunt scheduled, you are asked, but the choice is yours.
If the team schedules a hunt over your booking
When someone creates a calendar activity that clashes with bookings, the activity is marked Clashes, both in the calendar and in the Bookings list. The activity's page shows which bookings are affected. That way the hunt leader sees who has already booked stands that day.
Bookings in the calendar
Bookings also show in the team calendar:
- In the month view, days with bookings have a small orange dot
- In the week view, the booking sits as a lighter block beside the team's activities, on the hours it covers
- Tap a day to list that day's bookings together with the day's activities
Accommodation bookings do not show in the calendar. They are only in the Bookings list.
Change or cancel
Open the booking from the list. If you booked it yourself, or you are a secretary or team lead, you can:
- Tap Edit to change the time, the place or the note
- Tap Cancel booking to remove it. The app asks first whether you are sure
Other members can see the booking but not change it.
Open a place for booking
Requires administrator role
Only secretaries and team leads can open and close places for booking.
To begin with, nothing can be booked. An administrator chooses which stands, towers and areas should be bookable:
- Open the map and tap the marker or the area
- Tap Edit
- Turn on Can be booked
- Want to limit how far ahead the place can be booked? Enter a number of days under How far ahead can it be booked?. Leave the field empty for no limit
- Save
The team gets a notification when a place is opened for booking.
On the web it is quicker to open many places at once. Under Manage map features you can turn booking on per row, or select several rows and choose Open for booking under Booking. There you can also change how far ahead the places can be booked. See Manage map features.
If you close booking for a place, existing bookings stay, but no new ones can be made.
Notifications
You get a notification when:
- someone else changes or cancels a booking that is yours
- someone books a place inside an area you have booked, or another stand in the same drive as yours
- an administrator opens a place for booking
If you do not want them, turn off Bookings under notifications in your profile. Push is on by default, email is off.
Restricted roles
Guest hunters and other restricted roles cannot see or make bookings. See Members.
